Why is the ISO 9001:2026 update more than just a change to documentation?

Although the ISO 9001:2026 update is often associated with changes to documentation, in practice it primarily concerns the way an organisation operates. The new approach places greater emphasis on ensuring that the quality management system is actually used in day-to-day management, supports decision-making and reflects the organisation’s current operating conditions.

This means that the changes extend not only to the wording of procedures, but also to the way processes, data and information are handled within the organisation.

A change that can be implemented smoothly

It is worth emphasising, however, that for companies that have already implemented an ISO 9001 system, this does not mean they have to build it from scratch. In most cases, it is a natural extension of the existing system, which can be carried out in an organised manner without disrupting day-to-day operations.

The key lies in adopting the right approach:

  • focusing on areas that genuinely require updating,
  • adapting the system to current business realities,
  • avoiding unnecessary, formal changes that add no value.

How much might it cost to comply with ISO 9001:2026?

The costs of bringing a quality management system into line with the new ISO 9001:2026 standard depend primarily on the size of the organisation, the complexity of its processes, the current level of ISO 9001 implementation, and the scope of the necessary changes.

In practice, it can be assumed that:

  • in smaller companies, the costs may be limited to a few thousand to a dozen or so thousand zlotys,
  • in medium-sized and larger organisations, the costs may be significantly higher – particularly if it is necessary to streamline processes, organise data or change the approach to management.
