Your food is good. But do you have the documentation to prove it to overseas customers?

Polish food producers are competitive. The quality of Polish food products is recognised across European markets – and beyond. But in export markets, product quality is only half the story. The other half is documentation, certificates and management systems that confirm this quality in a way that a foreign buyer, retail chain or customs authority can verify without your involvement. ISO 22000 is one such document. And increasingly – a prerequisite for entry.

What the food supplier qualification process looks like abroad – and where Polish companies fall short

Germany, France, Scandinavia and the Benelux countries are the markets to which Polish food producers most frequently export. And these are markets where the requirements for suppliers are clear: food safety certification is the norm, not the exception.

Large retail chains and distributors in these markets operate according to structured supplier qualification processes. Food safety questionnaires, management system requirements, and certificate verification are routine procedures that every potential supplier must undergo before anyone sees product samples or a price list. A company without ISO 22000 certification or an equivalent food safety standard is usually eliminated at this stage – without any discussion of the product and with no chance of negotiation. This applies not only to large production facilities. Increasingly, small and medium-sized food businesses must also demonstrate that they have a food safety management system in place if they wish to work with demanding domestic and foreign customers.

ISO 22000 is a globally recognised standard. Its certificate is understood and accepted by buyers across Europe and in most global markets without the need for further explanation. It is the common language through which food producers communicate with the market – and if your company does not speak this language, some conversations simply do not take place.

ISO 22000 as a foundation for further certifications opening up new markets

ISO 22000 is more than just a standalone certification – it is a foundation upon which further standards can be built, opening up access to more demanding markets and customers.

Manufacturers who start with ISO 22000 have a much simpler path to GFSI certificates – such as FSSC 22000, BRC or IFS Food – which are required by the largest retail chains in Europe and worldwide. FSSC 22000 is built directly on the foundation of ISO 22000 – a company that holds ISO 22000 needs to meet just a few additional requirements to obtain GFSI certification. Without ISO 22000, this path is much longer and more expensive.

For companies planning to expand and enter the retail channel in Poland or abroad, ISO 22000 is the optimal first step – one that makes sense in its own right and simultaneously paves the way for further certifications when the company is ready for the next stage.

One certificate, many uses – how ISO 22000 works for your business all year round

An ISO 22000 certificate isn’t a document that gets filed away after the certification audit. It’s a tool that works for your business in many different situations at once. The benefits of implementing ISO 22000 extend beyond food safety to include easier customer acquisition, greater credibility and better organisation of internal processes.

When talking to new international clients – instead of explaining your quality systems from scratch, you simply send the certificate. The buyer checks it in the public register, sees that it is up to date and covers the relevant scope, and moves on to discussing the product. This saves weeks of time spent filling in questionnaires and organising verification visits.

During corporate client audits – the ISO 22000 certificate eliminates or shortens a significant part of the client’s audit. The client’s auditor sees that the system has been verified by an independent body and focuses on specific questions rather than verifying the fundamentals of the system.

During inspections by regulatory authorities – a documented, functioning food safety management system is the best protection a company can have. Not against the inspection – but during and after it.

In terms of financing and insurance – financial institutions and insurers are increasingly taking the existence of certified management systems into account when assessing risk. A company with ISO 22000 is seen as one that manages risk consciously – which can translate into better terms of cooperation. If your organisation is planning to implement ISO 22000, it is worth viewing this step as an investment in sales growth, food safety and credibility in international markets.
